Serves initial point of contact for calls into the agency, processing referrals, scheduling appointments, providing basic information, and transacting all related documentation and communication


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Serves as initial phone contact for the agency and answers incoming calls.
  • Communicates effectively with all callers.
  • Receives and processes electronic and phone referrals.
  • Enters client information into the electronic medical record.
  • Schedules client appointments into electronic scheduler.
  • Verifies client insurance, benefits and copays.
  • Provides basic information to callers, takes messages or transfers calls appropriately.
  • Documents communications thoroughly.
  • Coordinates with agency staff as needed.
  • Serves as backup to receptionist.
  • Participates in meetings, trainings and other activities as required.

Skills / Requirements

KNOWLEDGE, SKILLS AND ABILITIES REQUIREMENTS

  • Knowledge of general office operations, customer service and health care procedures and processes.
  • Knowledge of computer software, including MS Word and MS Excel and knowledge of scheduling software and electronic health records software utilized at the agency.
  • Ability to type at least 35 wpm.
  • Ability to perform basic clerical tasks including but not limited to use of email, data entry, word processing and use of copy/fax/scanner.
  • Ability to communicate effectively with others, orally and in writing.
  • Ability to work effectively with a broad range of individuals, including other employees and the public.
  • Ability to maintain confidentiality of information.
  • Ability to work under pressure and handle issues which develop unexpectedly.
  • Skill in analyzing and evaluating information and data and reaching sound conclusions.
  • Knowledge of the principles of cultural competency and adherence to its philosophy.
  • Knowledge of Lifewell’s Code of Ethics statement and adherence to its concepts.
  • Knowledge, skill and ability to communicate detailed information and impartial reporting skills.
  • Ability to maintain confidentiality of information.
  • Ability to work effectively with others and to communicate effectively, orally and in writing; ability to maintain decorum with challenging personalities and in challenging situations.
  • Ability to utilize good judgment, decision-making and work independently; ability to utilize self-motivational skills to ensure timely completion and follow through for all assigned functions.
  • Knowledge of or willingness to learn about Health Information Privacy and adherence to related laws and expectations regarding client confidentiality.

EDUCATION/LICENSE/CERTIFICATION/EXPERIENCE REQUIREMENTS

  1. A High School Diploma or GED and one year of related work experience
  2. Work experience in behavioral health preferred
